The type of personal information we collect

For registered users

We currently collect and process the following information for users who register as members to our website. This information is required at registration:

  • Your first and last name
  • Your email address
  • Your chosen username

We also ask for further optional responses at registration:

  • If you are a teacher or student
  • Reasons you are registering
  • What students do you teach
  • Your country of residence

This data is collected through a form built using the WordPress plug-in, Simple Membership.

For registered and unregistered visitors

We also collect data for registered and unregistered visitors to the website through Google Analytics 4 via the Google Site Kit plug-in.

Google Analytics traces visitor behaviour on the website including:

  • Visitor numbers
  • Time individual visitors spend on the website/particular pages
  • What device individual visitors use to access the site
  • Where visitors access the site from, e.g. Google search, URL, links
  • Download rates of files

This tracking must be consented to and this consent can be amended or revoked at any time through the CookieYes button (the blue cookie) on the left of the screen. CookieYes is a Consent Management Platform and restricts data from being passed onto Google Analytics. It also shows what cookies are in use.

How we get the personal information and why we have it

For registered users

Some personal information we process is provided to us directly by you at registration.

This includes:

  • Your first and last name
  • Your email address
  • Your chosen username

We also ask for further optional responses at registration:

  • If you are a teacher or student
  • Reasons you are registering
  • What students do you teach
  • Your country of residence

We will retain this data for as long as you retain an account on Teaching Medieval Women. To delete your account and to remove any associated data, please contact aahteachingmedievalwomen@ntu.ac.uk.

We collect personal data like names and email addresses to set up user accounts. We cannot view user passwords.

We use the information that you have given us in order to:

  • Contact you with further information about the project, such as events and new content.
  • Produce new content depending on our users’ needs.
  • Identify trends in usage, such as view and download numbers.

We also use email addresses to contact members with news about the project and further content. You can opt out of emails by contacting aahteachingmedievalwomen@ntu.ac.uk.

The purpose of the information we ask for at registration is primarily to understand the people using the resources we upload to the website. This is why the questions we ask focuses on who and what you teach. We ask this as registration is an opportunity to survey users of the website. This data is optional to submit but allows us to improve upon member experience, producing materials which corresponds to members’ needs.

We will retain this data for as long as you retain an account on Teaching Medieval Women, however we can remove any responses if you wish. Please contact us at aahteachingmedievalwomen@ntu.ac.uk if you have any concerns.

For registered and unregistered users

We also collect visitor behaviour data through Google Analytics for both registered and unregistered users. We collect this data through cookies which are small data files which are stored on web browsers and hard drives.

The cookies we use can be viewed by selecting the CookieYes button (the blue cookie button).

These include:

  • Necessary cookies (which allow for basis site features but do not retain any personally identifiable data)
  • Analytical cookies (which measure how visitors interact with the website).
  • Performance cookies (which help to deliver a better user experience through analysing website performance).

You can agree to or refuse any and all the cookies.

The data we collect includes:

  • Visitor numbers
  • Time individual visitors spend on the website/particular pages
  • What device individual visitors use to access the site
  • Where visitors access the site from, e.g. Google search, URL, links
  • Download rates of files

This data is processed by Google Analytics. The data is aggregated and anonymised. It is automatically deleted after 14 months.

Collection of this data requires consent which is given or refused by responding to the CookieYes banner pop-up. If at any time you wish to change your consent, you can by selecting the CookieYes button.

CookieYes records instances of consent. Every instance of consent is anonymised.

We intend to use this data as evidence to measure impact. In doing this we may share anonymised and aggregated data with third-parties like research councils.  

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting aahteachingmedievalwomen@ntu.ac.uk

(b) We have a legitimate interest. Our reason for collecting and using your data is to provide and potentially improve upon a service. Processing visitor data allows us to measure impact which can be used to apply for funding to support further project activities and production of content. Processing registered user data allows us to produce materials in accordance with the needs of our user base.

How we store and delete your personal information

Data given at registration is retained locally on the website servers which are hosted by Hostinger. Website administrators can access this information.

We keep user information given at registration for as long as your membership account is active. We can and will delete personal information by request.  

Data collected through Google Analytics is retained for 14 months before being deleted.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
